IT Asset Loan & Return Smart Lockers for Corporate IT
IT Asset Loan & Return Smart Lockers for Corporate IT
Automate the way employees request, collect and return shared IT assets. Smart locker hardware combined with ErgoAssetOS software creates a controlled, accountable workflow for laptops, tablets, shared devices and IT equipment — without manual handovers or spreadsheets.
Common IT Asset Management Scenarios
Many IT teams manage shared devices, temporary loans and equipment returns through manual processes. Smart lockers can automate these workflows where it makes sense for your organisation.
Shared Laptop Pools
Employees access shared laptops for temporary use — training, hot-desking, travel or project work — without IT staff involvement at each transaction.
Tablet & Device Lending
Tablets, handheld scanners, radios and mobile devices issued and returned through a controlled, logged workflow.
After-Hours Collection
Employees collect pre-approved equipment outside IT office hours — without requiring staff to be present.
New Joiner Equipment Issue
IT prepares and allocates equipment before the employee's first day. The new joiner collects independently on arrival.
Contractor Device Issue
Temporary equipment issued with controlled, time-limited access. Full transaction record retained for compliance.
Replacement Device Collection
A pre-configured replacement device may be collected when required, reducing helpdesk queue time.
Peripherals & Accessories
Chargers, adapters, keyboards, mice and AV equipment managed through open-shelf or approval-based access.
Equipment Return & Offboarding
Departing employees return equipment through a structured return workflow. Asset status updated automatically.
Not every workflow requires a smart locker. Lockers are most effective where self-service, after-hours access, accountability or volume make manual handovers impractical.
How IT Asset Loan & Return Works
A structured, configurable workflow from request to return. Steps can be configured according to organisational requirements — not every deployment requires all stages.
Asset Request
Employee accesses the user portal and requests an available IT asset, specifying loan period and purpose.
IT Review & Approval
IT administrator or manager reviews and approves the request where approval is required. Some assets may be available without approval.
Asset & Compartment Allocation
Approved asset is assigned to an appropriate locker compartment. Employee is notified when ready to collect.
User Authentication
Employee authenticates at the locker using the configured access method — RFID staff card, PIN, QR code, OTP or app-based access where supported.
Asset Collection
The correct compartment opens and the employee collects the assigned asset.
Transaction Tracking
System records user, asset, locker/compartment, issue time and status where configured.
Return
Employee returns the asset to the locker. Asset and transaction status are updated automatically.
Workflow can be configured according to organisational requirements. See the Smart Asset Lockers workflow page for how Reserve → Approve → Secure → Collect workflows apply across shared business assets.

How Corporate IT Teams Use Smart Lockers
💻 Shared Laptop Pool
An employee needs a laptop for temporary use. They log into the portal, request an available device, and specify the loan period. IT approves. The laptop is placed in an assigned compartment. The employee authenticates at the locker, collects the device, and the transaction is logged. When finished, the laptop is returned to the locker and its status updated.
👤 New Joiner / Onboarding
IT prepares and allocates equipment before the employee's first day. The device is secured in an assigned locker compartment. On arrival, the new joiner authenticates and collects their equipment independently — no helpdesk queue, no waiting.
🔑 Contractor Equipment Issue
A contractor requires a device for a defined period. IT generates a time-limited access code. The contractor collects the device from the locker using the code. Access expires automatically at the end of the contract period. A full transaction record is retained.
🚪 Employee Offboarding
A departing employee returns equipment through a structured return workflow. The asset is received into the locker, its status updated, and the transaction recorded — providing a clear return record for IT governance.
🔄 Replacement Device Collection
A pre-configured replacement device is placed in a locker compartment. The employee collects it when required — reducing helpdesk involvement and wait time. Where charging is incorporated, the replacement device is ready at full charge.
